AI appointment automation for a medical practice means automating every step around an appointment that is done by hand today: the booking, the confirmation, the reminder, the cancellation and the refilling of the slot, the answers to the same ten questions every day, the follow-up after the visit. It is not automation of medicine. It is automation of the front desk.

In a typical practice, the phone rings more often for "what time do you close", "where do I park", "do you accept EOPYY" and "I need to move my appointment" than for anything medical. Every such call interrupts the front desk, and when the front desk is busy, the next patient gets no answer and looks elsewhere. Meanwhile, a share of booked appointments never shows up, and the slots that emptied stay empty, while someone on the waiting list would have wanted them.

What does the appointment flow look like before, during and after the visit?

We split the appointment into three phases, because something different is automated in each. Before: the patient books online from the website, seeing only the hours the practice has opened for online booking, or calls and the front desk enters it. They immediately receive a confirmation by SMS or email with the address, a map, access directions and, if it is an examination, the preparation instructions written by the doctor. Twenty-four hours before, they receive a reminder with two buttons: "I will be there" and "Cancel".

If they tap cancel, the slot is not lost. The system automatically notifies the first patients on the waiting list who have asked for an earlier appointment, and the first to accept takes the slot. The front desk sees the change in the calendar without having picked up the phone. During the visit nothing is automated: that is the doctor’s time.

After: the next day a short thank-you message goes out with the practice’s contact details and, if the practice chooses, a polite invitation to leave a Google review. When test results arrive, the front desk marks them and the patient receives a neutral notification that they are ready and how to collect them. If the doctor has scheduled a follow-up check, the system proposes an appointment in the right week. None of this contains medical content.

Online booking on the website

The patient sees only the hours you open for online booking, selects a visit type as you define it, and leaves a name, phone and email. Three fields, no health question. The appointment lands in the practice calendar with no double entry.

Confirmation & 24h reminder

Immediate confirmation with address, map, parking and preparation instructions written by the doctor. A reminder 24 hours before by SMS or email with two options, "I will be there" or "Cancel", so whoever cannot come says so early rather than through their absence.

Cancellation → waiting list

Every cancellation frees a slot that is automatically offered to patients who asked for an earlier appointment, in the order you define. The first to accept takes it and the front desk sees the change in the calendar. Empty hours become visits without phone calls.

24/7 answers to practice questions

An assistant on the website, Messenger or WhatsApp that answers hours, address, access, parking, insurers, payment methods and how to prepare for an examination, using texts approved by the doctor. For anything medical, it refers to an appointment or the practice.

Follow-up & review request

The next day, a short thank-you message with the practice’s details and, if you choose, an invitation to review on Google Business Profile. If the doctor has scheduled a re-check, an appointment proposal in the right week. The practice’s reputation is built by patients who already came.

"Your results are ready" notification

When the front desk marks that the results of an examination have arrived, the patient receives a neutral notification that they are ready and how to collect them or book an appointment. Never values, findings or files. Medical content is communicated only by the doctor.

How does the AI assistant connect to the practice calendar?

The architecture is simple on purpose. On one side are the channels through which the patient communicates: the form and the assistant on the website, the phone and SMS, Messenger or WhatsApp if the practice uses them. In the middle sits the AI assistant, which understands what the patient is asking, answers organisational questions from the practice’s knowledge base and proposes available times. On the other side sit the calendar or practice-management software you already use and the SMS and email delivery service.

We do not replace your software. We connect to it, through its API when it offers one or through calendar synchronisation when it does not, so that availability lives in one place and nothing is entered twice. The medical record stays in the practice’s software and our system has no access to it. It needs only the times, the names and the contact details that concern the appointment.

And above all of this sits the front desk. It sees every appointment and every message in one dashboard, approves anything that is not standardised, takes over conversations the assistant cannot handle and can pause any automation with one click. What does the AI NOT do in a medical practice?

The most important decision in a project like this is not what we automate, but what we refuse to automate. The assistant does not diagnose and does not triage: if someone types a symptom, it does not assess it, does not suggest "possible causes" and does not decide how urgent it is. It replies that it cannot help with medical matters, suggests an appointment or contacting the practice and, where the text suggests an emergency, points to the national emergency numbers, 166 and 112.

It does not give medical advice, not even "general" advice. Preparation instructions for examinations, such as fasting before a blood test, are texts the doctor has written and are sent verbatim, not texts the model generates. It does not ask for and does not store health data: not in the form, not in the conversation, not in the reminders. And it does not decide on its own about anything that is not standardised. Every exception goes through the front desk.

These limits are not a constraint on what the technology can do. They are a choice about what a medical practice should do, in line with the doctor’s role, the Greek Code of Medical Ethics and the GDPR. A system that does not know where it stops is not an assistant, it is a risk.

How is patient data protected?

The GDPR treats health data as a special category with stricter conditions, and the simplest way for an appointment system to stay within the rules is not to touch it at all. That is the principle of data minimisation: we ask only for what is needed to make and confirm an appointment. The same applies to the forms on the practice website.

Data minimisation in practice. The final form fields are agreed with the practice and its legal adviser.

Contact details are stored for as long as the appointment and its reminders require, with consent given through clear wording on the form, and are deleted or anonymised according to the retention period the practice defines. The SMS and email services we use are based in or process data within the EU and operate under a data processing agreement. A patient can request deletion with a single message. All of this is reflected in the practice’s privacy policy, which we update together with your legal adviser before anything is switched on.

How much do no-shows fall, and how will you measure it?

No-shows are a practice’s most expensive invisible time: the hour was booked, the doctor was there, the patient was not. We will not tell you a reduction percentage, because any number you read comes from another practice, another specialty and another patient base. We will tell you the mechanism and the way to measure it, so that the number is your own.

The mechanism has three parts. The reminder 24 hours before brings the appointment back to mind for those who simply forgot. One-tap cancellation gives those who cannot come an easy way to say so, instead of not turning up. And the waiting list turns the cancellation into someone else’s visit, so even the slot that was "lost" is not lost after all.

The measurement is just as simple: for four weeks before activation, we record from your calendar how many appointments were booked and how many did not take place without notice. We repeat this for four weeks afterwards. The difference, together with the slots filled from the waiting list, is the real result for your own practice, and it goes into the monthly report alongside the number of questions the assistant answered without the phone ringing.

What exactly does AI automate in a medical practice?
The repetitive tasks around an appointment that need no medical judgement: online booking from the website, confirmation, a reminder 24 hours before by SMS or email, refilling cancelled slots from a waiting list, answers to frequent questions about hours, address, parking and insurers, follow-up after the visit and the review request. Can the AI assistant give medical advice or triage patients?
No, and it is designed not to. The assistant answers only organisational questions about the practice and, for anything touching a symptom, a medicine or a diagnosis, replies that it cannot help with medical matters and suggests an appointment or contacting the practice, or the emergency number where appropriate. Preparation instructions for examinations are texts written and approved by the doctor, not texts generated by the AI.
Does the system collect health data?
No. The booking form and the assistant ask only for name, phone, email and preferred time, and optionally the visit type as defined by the practice (for example "first visit"). There is no field for symptoms or history. This is called data minimisation and it is a GDPR requirement. The medical record stays in the practice’s own software, to which the system has no access.
Does it work with the appointment software I already use?
In most cases, yes. We connect to the calendar or practice-management software you already have, either through its API or through calendar synchronisation, so that availability lives in one place and nothing is entered twice. If your software does not allow a connection, we propose a shared calendar that the front desk sees. We check this during the mapping session, before any commitment.
How much do no-shows fall with reminders?
We do not quote a percentage, because it depends on the specialty, the patient base and how appointments are booked today. We do give you the way to measure it: we record the no-show rate in your own calendar for four weeks before and four weeks after switching on the reminder with one-tap confirm or cancel. The mechanism is simple: whoever cannot come says so early, and the slot is offered to the waiting list.
What about notifying patients that test results are in?
The system sends only a neutral notification such as "your results are ready, please contact the practice or book an appointment", when the front desk marks them as received. It never sends values, findings, diagnoses or files. Medical content is communicated only by the doctor, in the way the practice already follows.
How long does setup take, and what does the front desk do?
Usually four to six weeks from mapping to full operation, starting with online booking and reminders and adding the assistant and follow-up step by step. The front desk does not lose control: it sees every appointment and every message in one dashboard, approves anything that is not standardised and takes over conversations the assistant cannot handle.
